This guide walks you through creating a new user in the e-Track web portal, setting their access permissions for the cabinet, and (optionally) giving them software access to the portal itself.
Before you start
You'll need to be logged in to the e-Track web portal with a user profile that has permission to manage users (for example, an Administrator). Have the new user's details to hand — their name, email address, and which site they belong to.
Step 1 — Open the Create User page
From the left-hand menu, hover over Users.
Select Add from the menu that appears.
Tip: You can also select View to see existing users, or Import to add multiple users in bulk.
Step 2 — Enter the user's information
On the Create User page, complete the User Information panel. Fields marked with an asterisk (*) are required.
First Name* and Last Name* — the user's full name.
User Key Limit — the maximum number of keys the user can have out at any one time. Enter 0 for unlimited.
E-mail — used for notifications and reports.
Telephone — a contact number for the user.
Company and Department — helpful for filtering and reporting on larger sites.
Site — select the site the user belongs to from the dropdown.
Enable Global Search — leave this switched on if you want the user to be able to search across multiple sites at the cabinet.
Step 3 — Set access permissions for the cabinet
In the Access & Account Settings panel, choose how the user will identify themselves at the cabinet. You can enable one or more of the following:
Pin — the user enters a PIN on the cabinet keypad.
Fingerprint — the user registers and uses their fingerprint at the cabinet.
Card — the user presents an access card.
When Pin is enabled, a Temp PIN is generated and displayed on screen. Make a note of this and pass it securely to the user — they'll use it the first time they log in at the cabinet, and can then set their own PIN. If fingerprint access is enabled, they'll be prompted to register their fingerprint when they first register on the cabinet (see our guide "How to register on the cabinet?").
Step 4 — Give software access (optional)
If the user also needs to log in to the e-Track web portal, switch on Software Access and complete the following:
Username — the name they'll use to log in to the portal.
Password — a password for their account. Use the eye icon to check it before saving.
User Profile — the permission level for the account (for example, Administrator). This controls what the user can see and do in the portal, so choose the lowest level that fits their role.
If the user only needs to take keys from the cabinet, leave Software Access switched off.
Step 5 — Save the user
Click Save in the top right of the page. The new user is created immediately and will appear under Users > View, where you can edit their profile, assign keys and eFobs, or amend their access at any time.
